Enquiries and bookings

From a customer's first message to a paid deposit.

How quickly should I reply to an enquiry?

As soon as you can. A customer planning an event usually asks two or three providers at once and books the first one who gives a clear answer.

Your page shows customers how quickly you usually reply, and how quickly you reply is one of the things search order is worked out from. Aim for the same day, and within the hour when you can. A short "Yes, I am free that day, I will send the details this evening" is better than a full answer tomorrow.

What should I ask before I send an offer?

  • The date and the time you would start.
  • Where it is: a house, a hall, a hotel, a garden. And the town, so you know the travel.
  • How many people, and who it is for.
  • How much room there is, and whether it is indoors.
  • Anything else booked for the same event, so you can fit around it.
For children's entertainers
  • How many children and their ages.
  • The birthday child's name and anything they love or are afraid of.
For musicians
  • When you can get in to set up, and when the music has to stop.
  • What power and sound equipment is there, and what you need to bring.
  • Any songs they must have, such as a first dance.

How do I send a booking offer?

  1. Open the chat with the customer in Messages.
  2. Fill in the booking offer in the chat: what they are getting, the date and time, the place and the price.
  3. Check the deposit it shows, then press Send booking offer.

The customer sees the offer in the chat with a button to pay the deposit. You are booked when they pay, and both of you get an email. Until then you can change the offer or take it back.

How much is the deposit, and who sets it?

The deposit is a share of the price, or the same fixed amount on every booking, whichever was agreed with you. The offer shows the exact figure before you send it. Booklier's commission comes out of the deposit, and the rest of the price is paid to you on the day. The provider guide has a worked example.

A customer wants to book me directly. Can they?

Not if they found you through Booklier. Booklier is only paid when a booking is made through it, so under the provider terms any booking you take with a customer in the 12 months after they first contact you here goes through Booklier.

If a customer asks, tell them the deposit is paid here by card and the rest to you on the day. Most are happy with that.

I am not free on the date. What should I do?

Tell the customer straight away, so they can book someone else. If you know another Booklier provider who is free, you can pass the booking on from Cover and extra acts in your dashboard: bookings you pass on count towards your own rate once they are done.

Can one customer book several dates at once?

Yes. When you offer the same thing on several dates (a run of shows, a weekly class), the customer gets a discount for each extra date, and you see the exact numbers before you send the offer. The provider guide explains how the discount is shared.
